Job Opening: Administration & ITC Officer

IOGP Europe Administration Department is recruiting its new Administration & ITC Officer starting asap.

IOGP Europe is the European voice of our industry members, who account for 90% of Europe’s oil & gas production: an enabling partner for a low carbon future. We pioneer excellence in safe, efficient, and sustainable energy supply, and work with policymakers and our members to deliver a policy framework to scale up investments in the EU’s transition towards climate neutrality by 2050. IOGP Europe ASBL is the Brussels-based policy arm of the IOGP and is the center of its advocacy activity.

IOGP Europe (Not for profit organization) has a 16-20 people team working together in English/French in a dynamic, vibrant, diverse, international and enjoyable environment. The team, which continues to evolve, is organized in 4 areas:

  • Policy: Energy and Climate and Environment & Sustainable Finance
  • Relations with the institutions - outreach
  • Strategy and communications
  • Administrative support

The role

If you are looking for a role that provides variety, challenge and that make visible impact to the team and our ability to deliver great work, below are the details of the role and the attributes we are looking for:

Your key responsibilities will be:

  • ITC Support for the Brussels team
  • Provide local ITC pro- and rea-active support as the IT referent for the Brussels Team in liaison with the Head-Office Senior Manager IT & Infrastructure London
  • Manage IT purchasing, process, equipment, set-up, update and maintain the relationship with the providers

 

  • Finance and accounting administration
  • Assist accounting firm representative (2 days a month on site) and ensure timely planning and delivery of all financial data and documents.
  • Prepare and send invoicing following the VAT process, prepare payments and manage the bank accounts
  • Daily monitoring of Team members’ budget-related issues, including the control and reconciliation of monthly travel and subsistence expenses

 

  • Assistance for a positive HR Employee Experience and Wellbeing
  • Assist the external HR advisor who visits the office twice a month with all HR related information, data and documents to be confidentially provided such as benefits administration, new staff onboarding
  • Ensure Team members timely update and manage all leave information on the IOGP HR Platform (HiBob)
  • Provide support to create HR related policies such as prevention, protection and wellbeing policies
  • Propose initiatives to further enhance our fun and friendly working culture

 

  • Other administration (shared) tasks
  • Logistical organization of (mostly hybrid) meetings like the European Committee, European Board meetings and events including venues, catering, IT & technical material, in liaison with event organizers
  • Keep up-to-date documents and information relevant to members on IOGP European Committee documents (on SharePoint)
  • Liaise with landlord and other suppliers and service providers to ensure all IOGP Europe requirements are delivered. Maintain supplier contract data base and ensure all contracts are reviewed by legal advisers when required
  • Update the Office Handbook and the Administration Management Summary and Suppliers File
  • Coaching/supervising the intern to ensure back-up so help can always be given to the team

Position

The Administration & ITC Officer is a member of a 3 people team closely working together; he/she reports to the Senior Administration & Compliance Manager.

To qualify for this role, you must have:

QUALIFICATIONS & EXPERIENCE:

  • 3-year study after secondary school (Bachelor / Master)
  • Minimum 3-5 year work experience in a similar administration role
  • Previous experience in a Brussels-based international federation for demanding and high-standard members is a strong plus

KNOWLEDGE & ATTRIBUTES

  • Hands-on demonstrated expertise (Experience and knowledge) of Microsoft Office Suite, especially of Teams and Share points, with a passion for technology and helping others to get the most out of different tools (training/coaching): both imperatively required
  • Strong administration and organization skills. Self-confidence, method and attention to detail are mandatory to improve and deliver on time quality work
  • Pro-active, forward thinking and solution-oriented mindset and enhance our employee experience
  • All-round with a flexible attitude and team-player prepared to help at times beyond the job description

LANGUAGES

  • Fluent in French
  • Very good in English (Level C1 Minimum) as it is the common language
  • Other languages is a plus
